    Administrative Assistant Job Description

    Reports To:  Executive Director and Assistant Director

    Training: 20-hr Crisis Counseling/Dynamics of Domestic Violence, Sexual Assault, and Human Trafficking Training Offered by REACH of Macon County.

    Pay range: $18.00 per hour. Position can be FT or PT depending on candidate’s qualifications and their willingness and/or ability to provide victim advocacy work including responding to after-hours crisis hotline.

    Administrative Assistant Position Overview:
    The Administrative Assistant provides essential clerical and operational support to ensure the smooth functioning of the organization. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate is a team player with experience in administrative tasks, familiarity with QuickBooks, and a background in nonprofit operations is a plus. A strong commitment to supporting victims and survivors of domestic violence, sexual assault, and human trafficking is essential.

    Key Responsibilities:

    General Administrative Support

    • Assists in answering incoming phone calls and agency emails, directing inquiries appropriately.
    • Draft and format correspondence, reports, and other documents as requested.
    • Maintain and organize office files, including personnel, vendor, and accounting records.
    • Assist with Board and Committee meeting preparation, including compiling materials when necessary.
    • Manage daily mail collection from the Post Office and distribute it to appropriate staff.
    • Monitor and maintain office supply levels, placing orders as necessary with Executive Director approval.

    Finance & Record-Keeping

    • Maintain and reconcile petty cash funds.
    • File invoices with processed checks, ensuring proper documentation for accounting records.
    • Assist in compiling monthly vouchers for the organization’s bargain store.
    • Support grant-related documentation, including pulling receipts, making copies, and submitting reports to the Executive Director and Assistant Director.
    • Assist with weekly bill pay.
    • Assist with annual audits by gathering and organizing required documentation.

    HR & Compliance

    • Complete employee onboarding paperwork and conduct background checks.
    • Maintain records of community service and volunteer hours.
    • Willing to obtain a notary certification if not already certified.

    Donor & Community Engagement

    • Initiate and manage donor thank-you letters and tax receipt acknowledgments.
    • Assist with event planning, coordination, and participation as part of the administrative team.

    Other Duties

    • Perform additional responsibilities as assigned by the Executive Director to support the organization's mission and daily operations.

    Qualifications & Skills:

    • Strong organizational skills with attention to detail.
    • Ability to handle multiple tasks in a fast-paced environment.
    • Experience with QuickBooks and basic accounting practices preferred.
    • Previous experience in a nonprofit setting is a plus.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
    • Excellent communication skills, both written and verbal.
    • Ability to work independently and as part of a team.
    • Passion for supporting victims and survivors of domestic violence, sexual assault, and human trafficking.

    Hours

    PT Shelter Staff Position  

    Reports To: Executive Director and Shelter Supervisor 

    Rate of Pay: $18.00 Per Hour  

    Work Schedule:  Primary work hours are overnight and weekends. Times and days may vary. 

    Training: 20-hr Crisis Counseling/Dynamics of Domestic Violence, Sexual Assault, and Human Trafficking. Training provided by REACH of Macon County.  

    Work Description: 

    • Provide direct client services including intakes, supportive counseling, accessing needs, providing information and referrals, goal setting, and some transportation as needed 
    • Handle day-to-day operations of shelter, oversee MANNA and USDA food program, and completing record-keeping and paperwork.  
    • Maintain confidential paperwork, client files and perform data entry.   
    • Coordinate with other staff and community agencies, and perform additional duties as assigned. 
    • Cover crisis line as needed. 
    • Coordinate shelter client activities and meetings. 
    • Support an environment that encourages client growth, health, and safety.  
    • As needed, assist Court Advocate in providing information, accompaniment, Victim Compensation assistance and other court advocacy duties.

    Part Time Thrift Store Cashier

    Reports To: Store Manager/Executive Director

    Position: Part-Time position

    Hours: Approximately 3-4 days a week 9:00-6:30, Tuesday-Saturday, Days and times vary

    Duties

    Include but are not limited to:

    • Operate Square POS as assigned and be able to open and close register in addition to filling out daily sales report
    • Must be able to lift a minimum of 30 lbs.
    • Familiarity with clothing and shoe brands and trending styles
    • Familiarity with pricing items for resale in boutique that appeals to a variety of populations
    • Ability to oversee boutique clothing section including but not limited to pricing, staging, sales, and seasonal displays.
    • Familiarity with social media and ability to promote store merchandise, especially clothing in a creative and consistent way on both facebook and Instagram (tik tok is a plus). Familiarity with hashtags for clothing trends a plus.
    • Assist with moving furniture or other items as needed for staging or to assist customers
    • Assist with sorting and hanging clothing; pick up lose hangers and/or clothes as needed
    • Assist with store walk thru to ensure store is orderly and clean, including an opening and closing walk thru
    • Assist with accepting store donations and writing receipts as needed
    • Assist with duties that help keep the store in good order (i.e cleaning, gathering trash,  etc…)

    Victim Advocate

    Reports To: Executive Director

    Project Work Description:

    • Provide direct client services including intakes, supportive counseling, accessing needs, information and referrals, goal setting, case management, and some transportation as needed.
    • As needed, assist Court Advocate in providing information, accompaniment, Victim Compensation assistance and other court advocacy duties.
    • Assists in the development and implementation of all project activities, with a focus on victim services.
    • Facilitates coordination of community collaboration on behalf of this project.
    • Assists in the research, development, and distribution of informational and outreach materials specific to victim services.
    • Receives training and education of project staff to ensure knowledge of best practices in providing services and development of policy and procedures in working with victims.
    • Assists in the training and utilization of project volunteers.
    • Responsible for the documentation of client files, statistics, and other necessary programmatic information as requested.
    • Provide individual and group life skills for identified participants.
    • Provide job counseling, job training, and placement.
    • Provide financial education and work with financial institutions for referrals and collaborations.
    • Provide psycho-educational groups, enrichment classes, and support for job training and placement, financial empowerment, educational advocacy, and recreational support.
    • Provides direct client services including hotline coverage, crisis counseling, information/referrals, victim’s compensation assistance, and peer support group.

    Part-Time Truck Driver Assistant/Mover

    Reports To: Store Manager/Executive Director

    Position:  Part-Time position

    Hours:      Approximately 2-4 days a week
                       9:30-4:30, Monday-Saturday
                       Days and times vary 

    Duties: Include but are not limited to:    

    • Be able to drive a box truck and operate lift
    • Maintain a clean driving record
    • Must be able to lift 80lbs or more
    • Assist in maintaining the safe working order of the truck and advise of needed repairs or issues
    • Assist with accepting store donations and writing receipts
    • Assist with duties that help keep the store in good order (i.e. taking recycling and trash, cleaning, etc…)
    • Assist REACH office with carrying away large trash, food pick-ups, maintenance, and other needs that require the truck.
    • Assist with scheduling pick-ups as needed 
    • Greeting and assisting customers
    • Moving furniture as needed

    Job Summary:

    The Violence Prevention Education Coordinator plays a crucial role in designing, implementing, and evaluating programs aimed at preventing domestic violence, sexual violence, and human  trafficking, while promoting healthy relationships within communities. In addition to developing educational initiatives, collaborating with community partners, and providing training to empower individuals with knowledge and skills, this position also includes serving as a victim  advocate—providing direct support, resources, and crisis intervention to individuals impacted by interpersonal violence.

    Project Work Description:  

    1. Program Development: Design comprehensive violence prevention education programs tailored to diverse audiences, including schools, colleges, workplaces, and community groups. 
    2. Curriculum Design: Develop age appropriate and culturally sensitive educational materials, workshops, and presentations on topics such as consent, healthy relationships, bystander intervention and sexual and domestic violence prevention. 
    3. Training Delivery: Conduct interactive training sessions for educators, students, professionals, and community members on violence prevention strategies, risk reduction, and support services. 
    4. Community Engagement: Establish and maintain partnerships with local organizations, schools, law enforcement agencies, and healthcare providers to coordinate outreach efforts and promote collaboration in addressing domestic and sexual violence. 
    5. Awareness Campaigns: Organize awareness events, campaigns, and activities to raise public consciousness about the prevalence and impact of sexual violence and the importance of prevention. 
    6. Social Media Outreach: This position is responsible for maintaining the organization’s social media accounts by creating and posting engaging, educational content that promotes available services and raises awareness about interpersonal violence. Content is designed to reach diverse populations, with particular attention to materials that are relevant and age-appropriate for adolescents.
    7. Data Collection and Analysis: Collect, analyze, and report data on program outcomes, participant feedback, and community needs to inform program improvement and advocacy efforts. 
    8. Resource Development: Compile and disseminate resources, referrals, and information on support services, legal rights, and reporting options for survivors of domestic violence and sexual assault. 
    9. Advocacy: Advocates for policy changes and systemic interventions to address the root causes of domestic and sexual assault and enhance community responses and prevention efforts.  
    10. Victim Advocacy

    Skills/Qualifications:

    • Minimum of a 2-year degree in human services, education, communications, or a related field (Bachelor’s degree preferred)
    • Dynamic and engaging personality with a passion for violence prevention and community outreach
    • Strong written and verbal communication skills, including public speaking and presentation abilities
    • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint
    • Familiarity with managing social media platforms (Facebook, Instagram, etc.) and creating relevant content
    • Ability to design and create graphics using tools such as Canva or similar software
    • Highly organized and capable of managing multiple projects and deadlines simultaneously
    • Comfortable working independently and collaboratively in a team setting
    • Experience working with youth and/or adolescent populations is a plus
    • Commitment to supporting survivors of domestic violence, sexual assault, and human trafficking through trauma-informed approaches
    • Demonstrate understanding of trauma-informed practices and survivor-centered approaches.
    • Proficiency in program evaluation, data analysis, and report writing.
